Owner Terms
Last updated 19 October 2026
These terms apply when you register a PG, hostel or other residence on Sthavira and use it to manage rooms, residents, staff, money and your public profile. They add to our general Terms of Service. If the two differ, these Owner Terms apply to you.
In short
- You run the residence. Sthavira is the software you run it with.
- We verify owners before their residences can be found or applied to publicly.
- Resident and staff data is yours to protect. Use it only to run your residence.
- Bills and receipts come from the numbers you enter. Check them before you send them.
- Your public profile must be true. We rank profiles on quality, not payment.
1. Our roles
You provide the accommodation and decide the rent, deposits, food, house rules and who stays. Sthavira provides the software. We are not a party to your agreements with residents or staff, we do not collect rent on your behalf, and we do not hold your money.
For the personal data of your residents, applicants and staff, you are the data fiduciary under the Digital Personal Data Protection Act, 2023, and we process that data for you on your instructions. For your own owner account, Sthavira is the data fiduciary. See the Privacy Policy.
2. Owner verification
- When you register, you give your business name, address and an identity proof. Once you confirm your email address, you can start running your residences on Sthavira.
- The Sthavira team then reviews your details. Until you are verified, your residences do not appear in public search and cannot receive public applications. People you give your owner code to can still apply.
- We may ask for more documents, such as proof that you own or lease the property. We can refuse or withdraw verification if details are false, incomplete or put residents at risk.
- Tell us promptly if your business details change.
3. Your properties and beds
- Keep your floors, rooms, beds and rents accurate. The vacancy shown on your public profile and offered to applicants comes from this inventory.
- You decide which bed each approved resident gets. Do not approve more people than you have beds for.
- Parking or archiving a property hides it from new applicants. It does not end the stays of current residents.
4. Your owner code and approvals
- Each owner account has a permanent application code. Residents and staff who enter it can apply to your residences even if they are not listed publicly. Share it only with people you want to apply.
- You review every application, check the person's identity and documents yourself, and approve or reject it. Sthavira does not vet residents or staff for you.
- Police verification, guest registers and any licence your city requires are your legal duties. Sthavira helps you keep the records; it does not file them for you unless a feature says so.
5. Identity documents and resident data
- Ask only for documents you genuinely need. Prefer masked Aadhaar. Sthavira stores only the last four digits of an Aadhaar number.
- Proof files open through short-lived secure links. Do not download, copy, forward or publish them except where the law requires it.
- Use resident and applicant contact details only to run your residence. Do not sell them, share them with other businesses, or use them for unrelated marketing.
- Give your staff only the access their role needs, and remove it the day they leave.
- If you believe resident data has been exposed, tell us immediately so we can help you meet your notification duties.
6. Bills, payments and receipts
- You set rents, deposits, food charges, late fees and waivers. Bills, receipts and agreements are generated from the information you enter, in your name. Check them before you issue or rely on them.
- Record cash and direct UPI payments truthfully and on the day you receive them. Never mark a bill paid that was not paid, or change a receipt after issuing it.
- Refunds of rent and deposits are owed by you, under the Refund and Cancellation Policy and your agreement with the resident.
- Where online payment is offered, the payment provider's own terms also apply, and settlements go to the account you set up with that provider.
- You are responsible for your income tax, GST and any other tax on what you charge. GST and compliance tools are aids, not tax advice.
7. Your public PG profile
- Everything you publish must be true and current: photos, rent, vacancy, amenities, rules and location. Use only photos you took or have the right to use, and do not show residents without their consent.
- Phone numbers and resident details are never shown publicly. Students contact you through the enquiry form, and you reply from Sthavira.
- Search ranks verified profiles first, then by completeness, real vacancy and how recently you updated the profile. Ranking cannot be bought.
- View counts are approximate and exclude obvious bots. Treat them as a guide, not a guarantee.
- We may hide or remove a profile that is misleading, unsafe or the subject of credible complaints.
8. Enquiries
Public enquiries come with the student's or guardian's contact details. Use them only to answer that enquiry. Do not add them to mailing lists or pass them to anyone else, and stop contacting a person who asks you to.
9. Staff accounts
Staff join with your owner code and become active only when you approve them. You decide their role and what they can do, and you are responsible for what they do in Sthavira on your behalf.
10. Messages, notifications and AI
- Notices, reminders and alerts sent through Sthavira must be about the residence. Do not use them for abuse, threats or promotions unrelated to the stay.
- AI suggestions, such as grouping complaints or flagging unusual numbers, are advice only. You and your team make every decision about residents, money and access.
11. Fees
Any fee for using Sthavira is shown in the app before you are charged. We will give you at least 30 days' notice before we introduce a fee or change one, and you can stop using the service before it applies to you. Subscription cancellations follow the Refund and Cancellation Policy.
12. Suspension
We may limit or suspend an owner account, with notice where it is safe to give it, for false verification details, misleading listings, misuse of resident data, harassment, unpaid fees, or anything that puts residents or the service at risk. Where we can, we will give your residents a fair chance to download their own receipts and records.
13. Leaving Sthavira
You can stop using Sthavira at any time. Before closing your account, export the records you need and tell your residents and staff. We keep financial records, receipts and audit history for as long as the law requires (generally eight years), then delete or anonymise them.
14. Everything else
Liability, changes to these terms, governing law and disputes are covered by the general Terms of Service. Questions about these Owner Terms: email kinker711@gmail.com or call +919008726954.
